File List Enhancements

You have commented and we are listening!  Onware is delighted to announce enhancements to File List uploading, Access and Watching!

Security/Access

Security surrounding who can access a folder can now be set, either at the project level or to the Folder Template (which is applied to all newly created projects).  To learn more about the Folder Template, click here. Follow the below steps to set access for a folder. Project Specific
  1. From the Navigation Menu, select Project Administration > File List.
  2. Select the folder which requires Folder Access.
  3. From the Folder Access area, select which Role(s) require access.
  4. Select Save.
  5. Repeat steps 2-4 above for each folder which requires specific access.
NOTE: Folder Access does not propagate to sub-folders.  Access must be explicitly set for each folder. Global NOTE: The Folder Template, including assigning Access to folders within the Folder Template, is managed by an Onware Administrator.  Access can be assigned to folders once a default folder structure has been created.  To learn more about the Folder Template, click here.

Uploading

In version 8.18.1, all project participants can upload documents into the File List.

Watching

Based on customer feedback, we have included the functionality to watch a folder.  Previously project participants were only able to watch a file or multiple files. When a project participant is set to watch a folder, they will be notified, via e-mail, when a change occurs in the folder. With the folder selected, choose “Watch this folder”.  Once selected, your name will appear in the list of People Watching, 2015-11-20_15-06-59 Click here to learn more about version 8.18.1.

CRX

CRX response times, as specified in the contract, can be configured per Contract (as set in the Project set up) in Onware.  By doing so, Onware will automatically populate the date required, based on the date the Change or Change Directive is “Issued for Pricing” plus the interval of days as configured in the Project’s Contract. E.g. Contract’s “Quotation Due On” set to 14 and Change is issued for pricing October 1, the CRX Due On date would automatically populate as “October 15”. To configure the time intervals, as specified in the Contract, follow the below steps:
  1. 2015-11-18_14-27-12As an Onware Administrator, edit the Project.
  2. In the Contract section, edit the Contract the CRX response times are required on.
  3. 2015-11-18_14-24-58Enter the number of days the Quotation is due (from the date pricing was required) in the Quotation Due Date field.
  4. Enter the number of days the Quotation Recommendations are due (from the date pricing was provided from the General Contractor) in the Quotation Response Due Date field.
When asked to provide pricing on a Change or Change Directive, the General Contractor can create a CRX from the initiated Quotation.  When a CRX is initiated in this manner, Onware will automatically populate the CRX Due On date, with the time interval (in calendar days) as specified in the Quotation Due Date. Once the CRX is Submitted as a Quotation, the Response Due On date is also calculated automatically by Onware, based on the time interval (in calendar days) as specified in the Quotation Response Due Date. The CRX Due On and Response Due On dates now display on the CRX Standard Form. NOTE: Onware will not overwrite the date when the Response Due On date is manually entered. 2015-11-19_15-51-14 The CRX Standard form has been updated to display these dates.

Construction Diary 

Onware can now retrieve historical weather data.  If historical weather data is required, select the date, enter the time**, and select either “Get Weather for Project Location” or “Get Weather using Currently Location” and let Onware do the rest! ** NOTE: If a time is not noted, Onware will retrieve weather data for noon of the date selected.

Submittal

All project participants now have read only access to view a Submittal once it has been closed.

CRX

When closing a CRX, a notification will be displayed, as a reminder, that closing the CRX will prevent the creation of Sub-Contractor Change Orders.

Projects

When copying a project, Onware provides the ability to copy the Project’s File List structure.

Fixes

Performance Report

Identified Issue: Performance report page generates an error when loading.

Site Visit

Identified Issue: Auditing of a Site Visit generates an error. Identified Issue:  When issuing Site Visits not all pages are being generated and included in the PDF

Request for Information

Identified Issue: An RFI is able to be “Returned to Issuer” without a Discipline’s Suggestion entered.

Cover Letter

Identified Issue: Cover Letter number is duplicated when the Cover Letter document is created from File List.

Expenses/Time sheet

Identified Issue: When an Expense was saved and subsequently updated, the original total was displaying on the Invoice Worksheet. Identified Issue: Accounting Approval page is inaccessible due to page taking too much time to load.

Change Request

Identified Issue: Change Request generates errors when attempting to retrieve the associated Change.

Quotation

Identified Issue: Removed Sub-Contractors ability to view Quotations from within a Change printed form.

Enhancements

Browse for Project Participants

2015-11-16_13-08-04Find it time consuming typing each Participants name to add them to the Site Visit? Try using the Browse for Project Participant button, which allows you to select any and all Project Participants at once!

Weather data

2015-11-16_13-22-07Previously, weather data could only be entered manually into a Site Visit.  Onware can now retrieve the weather data, for either the Project Location (as set in the Project setup), or the current location of the person logged into Onware, simply by selecting a button! Importing Observations

ObservationsImporting Observations from a previous report can now be done with just the click of a button.  Click on Import Items to manually select which deficiency Observations are to be imported into the Site Visit. The Item(s) can be searched by “All” or by choosing a specific Discipline.  Check off the item(s) to be imported and click on Import Selected.  The items will automatically be added to your current Site Visit document.

With the ability to import Observations, the Setting “Copy Outstanding Items” has been removed.  Any outstanding deficiencies will need to be imported into each newly created Site Visit.

Observations Name Change – Rooms=Area

The “Rooms” field has been renamed to “Area”.

Standard From: Observation Images – Display and Printing

Images attached to an Observation now display at the bottom of the Site Visit Form under Attachments. When a Site Visit is viewed by clicking on view or print preview, the images display the Item, Area Number and Area Title they are associated too. When viewing/printing in PDF, the Observation images/uploads will display at the end of the Site Visit document, allowing the option of printing selected pages (document only, images only, or both) when required.

Checklists

A Site Visit Checklist is a per-determined list of items requiring review during the Site Visit.  In the 8.18.1 release, a Checklist template can be included into a Site Visit, and each of the Checklist Item updated to reflect their review. Onware Administrators can create Checklists globally (for the entire Onware site) or project specific.  Refer to  “Onware Administrators: Things to Know – Checklists” below for instructions on how to create a Checklist.2015-11-17_13-51-37 Once a Checklist is added to a Site Visit, each item can be edited to allow further documentation.  Each item can be categorized as “Yes”, “No” or “N/A”, have comments entered, and/or used to create an Observation Item.

Configure Site Visit Areas

2015-11-16_13-51-20To configure the default list of Areas for a Site Visit, previously set as a Setting called “Default Rooms”, select the Configure Site Visit Areas link from the Site Visit Search/Browse page. When configuring Areas, Onware no longer requires both the Number and Title fields.  A Number and/or Title field may be entered.

E-mail Subscriptions

An E-mail Subscription for an Issued Site Visit will only be triggered when the Site Visit is created and subsequently issued by a Sub-Consultant.  Site Visits created by the General Contractor or the Prime Consultant are moved to the status of Closed automatically by Onware.

Checklists

Creating a Checklist is accessible through the Checklists category of the Onware Tools Menu. Select New in the top toolbar and perform the following steps:
  1. NewChecklist If applicable, choose the Project the Checklist is required for.**
  2. Enter the Title of the Checklist.
  3. Select whether the Checklist is Active or Inactive.
  4. Add Items using the below steps.
** If no project is selected, the Checklist will be available for selection by all projects. Next, the individual Checklist Items need to be added.  Click on Add New Item and enter the required information as shown below:
  1. NewChecklistProcessEnter the Title of the Checklist Item.
  2. Enter a Description for the Checklist Item.
  3. Click on Save for the Checklist Item to display under the newly created Checklist.
Active Checklist will be available for selection when creating/updating a Site Visit. If a Checklist will also display when viewing/printing the Site Visit. NOTE: Items can be re-ordered by dragging and dropping the items into the required order. Click here to learn more about the 8.18.1 release.
