Enter a Sub-Contractor Quotation on behalf of the Sub-Contractor (Trade)

Need to enter a Sub-Contractor’s Quotation on their behalf?  You now can by following the steps below:

  1. From the Navigation Menu, select the appropriate project.
  2. Select Changes > CRX.
  3. 2016-02-10_14-59-40Select “New” to create a new CRX OR edit an existing CRX.
  4. From within the CRX, select the check box of Sub-Contractor to enter a Quotation on behalf of.
  5. 2016-02-10_15-02-05Select Save from the Top Toolbar.
  6. An “Enter on Behalf” of button appears next to the Sub-Contractors name selected.
  7. Select the “Enter on Behalf” of button.  The Sub-Contractor Quotation page displays.
  8. Complete all necessary fields. NOTE: Total Quoted and Cost Type are mandatory fields.  If a Sub-Contractor Change Order will be required, a Contract must be selected (or created using the New Contract) button.
  9. By default, the Issued By field populates with the Sub-Contractor’s name selected in step 4 above.  This can be removed and amended as required.
  10. Select the appropriate action from the Top Toolbar:
    1. Close
      1. A contract must be selected prior to the Sub-Contractor Quotation Close action being accepted by Onware.
      2. Closing allows a Sub-Contractor Change Order to be created.
    2. Close Without Contract
      1. Does not require a Contract prior to Closing the Sub-Contractor Quotation.
      2. A Sub-Contractor Change Order will not be able to be issued from with Sub-Contractor Quotation.
  11. Once the Sub-Contractor Quotation is closed, you are re-directed to the CRX selected in Step 3 above.
NOTE: The Sub-Contractor must have a Trade selected in either their Preferences (User Account) or the Project for a Sub-Contractor Quotation to be created on their behalf. Want to learn about all the exciting changes in version 8.21.1 of Onware?  Click here!

Improvements to the File List

As always, Onware is listening!  Based on your feedback, we have added some additional functionality and improvements to our File List.  Read below to learn more!

  • Improved user experience when viewing and navigation through the File List from a smaller viewing surface
  • Improved speed performance of loading folders and/or switching between folders
  • When a folder is selected, the total number of files within the folder displays

New Functionality

Download as a ZIP

Using the “Select an Action” drop down list, project participants can download, into a ZIP file, either select files or all active (non-Archived) files within a folder.

How to Download Folder or Files as a ZIP

  1. 2016-02-08_15-04-14Either select the folder or the specific files within a folder to be copied.
  2. From the “Select an Action” drop down list, choose the appropriate download option:
    1. Download Entire Folder as a ZIP
    2. Download Selected File(s) as a ZIP
  3. Select the Go button.
  4. The folder or files will automatically start to download as a ZIP file.

Need to reference a specific folder in the Project’s File List easily and quickly?  Copy it! Hover the mouse over the icon, right-click and select “Copy link”.  Onware will store a copy of the link which you can paste for easy reference. To access the copied folder location, Onware requires the person to log in, and be a participant of the Project, prior to being re-directed to the specified Project’s File List folder. NOTE: Folder Permissions are maintained when using the Copy link function.  If a Person whom does not have the appropriate permissions to view the contents of a folder attempts to access the folder via the copied link, they will still be unable to view the contents of the folder.

Copy a file to another folder

When Folder Access is limited, using the Copy function in the File List facilitates the requirement to have an identical file in two different folders.

How to Copy a File from one folder to another

  1. 2016-02-04_12-13-57Select the File(s) to be copied.
  2. From the “Select an Action” drop down list, choose Copy.
  3. Select the Go button.
  4. The File folder structure will display.  Select the destination Folder for the copied File.
  5. Choose OK.
Additional Information:
  • The most recent Upload Version is copied into the destination folder
  • The person who completed the “Copy” action is recorded as User of the copied file within the destination folder
  • The date the file was copied is used as the “Initiated” date of the copied file
  • Files can be copied into any folder – including those the Project Participant does not have access to
  • Copying a File with explicit Access does not copy the Access.  The Access must be set on the copied file in the destination folder.

Setting – Limit Upload Access

Assigned to the Onware Administrator by default, if this setting is applied in a project, only the Onware Administrator can upload files into the File List. Want to learn about all the exciting changes in version 8.21.1 of Onware?  Click here!

E-mail enhancements – including the ability to download all attachments at once!

All emails sent from Onware will now include the URL link to log into Onware.

2. Attachments too large to send

2016-01-27_14-50-08Onware limits the size of each attachment in an e-mail (typically 5MB) to ensure the email is not rejected by the recipient due to attachment size. Previously, if one or more files could not be attached due to size, Onware included a disclaimer advising such.  The e-mail recipient, however, had to ascertain which document(s) was not included. In version 8.21, we have updated the readability of list of attachments to include Statuses.
  • Attached
    • Document is included as an attachment in the e-mail
  • Attached – Combined PDF
    • Document is included in the Combined PDF document included in the e-mail
  • Not Attached
    • Document is over the size limit and has not been included in the e-mail

3. ZIP files

Onware will now include, in any e-mail which contains attachments, a link to download all attachments as a ZIP file. Selecting the “Download All Attachments as a ZIP” link will automatically open Onware.  If you are already logged into Onware, you will be directed to a page where the ZIP file will automatically download. If you are not logged into Onware when selecting the “Download All Attachments as a ZIP”, you will be required to enter your username and password before being directed to the ZIP file. 2016-01-27_16-20-06For your convenience, Onware will display the approximate size and the length of time of time it will take to download the ZIP file as well as the list of attachments to be included in the ZIP. 4. Daily Digest E-mails

The Daily Digest E-mails have been formatted within a table so they are easier to read on a mobile device. 2016-02-01_15-28-17

5. Welcome to Onware email

  • Generated error when accessing
